How do I get to the event?

Convocation is hosted at Laurelwood Campus in Jasper, Oregon. Please see our Plan Your Stay page for directions and travel information.

Will the 2025 Light Bearers Convocation be live-streamed?

We will not be live-streaming the 2025 Convocation. However, the sessions will be recorded and released later in the year.

Light Bearers Convocations are best experienced in-person, so if at all possible, we encourage you to join us on-site.

Registration & Check-In
How do I register?

Click one of the "Register Now" buttons at the top or bottom of this page to access the registration portal.

Are there any registration fees?

Yes, event registration for adults (18 and older) is $25*. Children and youth (17 and under) can attend for free.

Saturday sessions are free for everyone. If you plan to attend only on Saturday, you do not need to pay the registration fee, but we still ask that you register and encourage you to register in advance.

*This fee helps cover event operations, grounds maintenance, and logistical expenses to ensure a smooth and enjoyable experience for all attendees.

Do I need to register to attend?

Yes, all attendees must register.

While on-site registration will be available, we highly recommend registering in advance, especially if you need accommodations, as space is limited. Please bring your ticket voucher (printed or digital) and a valid ID for check-in.

Important: Reserving accommodations does not register you for the event. Each attendee must complete event registration using the Adult or Children/Youth Registration options.

Can I register on-site?

Yes, on-site registration is available, but we recommend registering in advance to avoid delays at check-in. Please note, accommodations are limited and may be sold out if you wait to register on-site.

What happens if I lose my ticket voucher?

No problem! Simply bring a valid ID to check-in, and our team will verify your registration.

When is check-in?

All attendees must check in at the registration booth before attending any sessions or setting up accommodations. The booth will be open:

  • Tuesday, June 24 | 3:00 PM – 8:00 PM (Early Check-in)
  • Wednesday, June 25 | 8:00 AM – 8:00 PM
  • Thursday, June 26 | 10 AM – 2:00 PM
  • Friday, June 27 | 8:00 AM – 8:00 PM
Can I stay an extra night before the event?

Yes, early check-in is available on Tuesday, June 24, from 3:00 PM – 8:00 PM at no additional cost.

What time is check-out?

All accommodations must be vacated by Sunday, June 29, at 12:00 PM.

Can I stay an extra night after the event?

No, all guests must vacate accommodations by Sunday, June 29, at 12:00 PM.

What accommodation options are available?

We offer several lodging options to suit different needs:

On-Site Camping – Bring your own tent and camping gear.

RV Parking – Reserved RV spaces with or without hookups.

Dorm-Style Guest Rooms – Limited availability

Nearby Hotels – Special group rates available.

How do I book accommodations?

All on-site accommodations are to be reserved through the convocation registration portal.

Do I still need to register if I booked accommodations?

Yes, booking accommodations does not automatically register you for the event. Every attendee must complete event registration separately.

If you’ve reserved on-site lodging, please make sure you also register for the event under Adult Registration or Children/Youth Registration to secure your spot.

Can I stay in my car overnight?

Yes, overnight car camping is permitted. Please book an on-site camping spot and park your car in the designated camping area.

Is there electricity available for tent campers?

No, tent camping does not include access to power hookups.

Are there hookups for RVs?

Hookups are only available in designated zones and must be reserved in advance.

Can I build a campfire?

No, campfires and open flames are not permitted due to fire safety regulations.

Can I bring a generator for my RV?

Yes, but generators must be turned off during quiet hours (10:00 PM – 7:00 AM).

Are dorm rooms private?

Yes, dorm rooms are private, but bathrooms are shared by gender.

Is there access to a kitchen or refrigeration in the dorms?

No, kitchen facilities and refrigeration are not available to attendees.

Are there laundry facilities on-site?

No, laundry facilities are not available on campus.

Who can use the dorm bathrooms?

Dorm bathrooms are reserved for guests staying in dorm rooms.

Are there restroom and shower facilities for campers and RV guests?

There are nine bathrooms with showers in the campground area, plus portable toilets placed throughout the grounds.

Can I bring my pet?

Pets are not permitted, except for service animals with valid documentation.

What are the quiet hours for on-site attendees?

Quiet hours are 10:00 PM – 7:00 AM across all camping, RV, and dorm areas. Please be mindful of others during these times.

Family & Kids
Is this event suitable for children?

Yes! We welcome families and offer dedicated kids and youth programming to ensure a meaningful experience for all ages.

Are there childcare services available?

No, while we offer kids and youth programming, parents and guardians are responsible for supervising their children outside of scheduled sessions.

Can minors attend without a parent or guardian?

Minors (under 18) must be accompanied by a parent or guardian.

Food & Meals
Do I need to bring my own food?

Attendees are responsible for bringing their own food.

Are there grocery stores or restaurants nearby?

Yes! The Jasper Store and Deli (541-746-4046) is just 2 miles away, and larger grocery stores and restaurants are within 10 miles.

Can I volunteer at the Convocation?

Yes! Volunteers are needed for:
